Buddy Programme and Inclusion Manager (Board)
Buddy programme bridges the Finnish-International gap and aims to help students learn about new cultures. Connect international/exchange students with local Finnish students in a buddy system. Manages the entire process and creates buddy specific events through the year. Comes up with programme goals with the team and aims for inter-university collaborations. Liaison with the University of Helsinki's student exchange office. This is a new position and will require a significant but rewarding amount of work during June and July 2023 before the school year starts.

Creates buddy specific events through the year. Comes up with programme goals with the team and aims for inter-university collaborations. Works on developing the new buddy programme and responsible for data collection and improvement metrics.
Active Volunteers
Want to get involved in some events when you can, but don't have enough time to plan full events? You can join ESN Uni Helsinki as an active volunteer!
Responsibilities:
Help with at least 2 events and/or parties
Don't have the same managing responsibilities, but want to help at student events
Share events and communications among friends and groups

Administration Team
President (Board)
Chairs board meetings and directs all teams, involved with all aspects of the team and coordinates with long term partners such as the University of Helsinki and HYY. Administrates digital services for the team. Represents the team in external matters.
Vice President and Local Representative (Board)
Liaison with ESN Finland and ESN International and relays communications and ESN-network related information. Helps and supports President and their tasks, chairs meetings if the President is absent, makes sure that rules are being followed, makes sure GDPR rules are followed, responsible for documents and applications, as well as files on the shared drive.
Secretary (Board)
Organizes weekly team meetings and takes minutes at meetings, coordinates office hours and inventory, responsible for ESNcard and membership management, manages room bookings and collects keys, make sures documents are filed in order and signed properly.
Office Hours and Inventory Coordinator
Plans office hours and locations, manages ESNcard and memberships with Secretary, helps with inventory and merchandise management. Creates new merchandise, orders patches and goodies, and is in charge of procurement.
Communication Team
Communications Manager (Board)
Coordinates the team, manages all external and internal communications with administration and team, and is involved in planning and sending out communications, in charge of the monthly emails, and steps in for social media and graphics when needed, helps with replying and escalating incoming messages.
Social Media Coordinators
Manages social media channels and is creative and active in creating posts, stories, and campaigns. Also monitors the group channels and is responsive in replying to messages.
Website and IT Coordinators (*)
Manages the website, online services, web services, and creates emails and digital systems for team members, as well as helps with monthly newsletters and other digital and IT services.
Graphic Artists (*)
Plans office hours and locations, manages ESNcard and memberships with Secretary, helps with inventory and merchandise management. Creates new merchandise, orders patches and goodies, and is in charge of procurement.
Finnish-English Translators (*)
Translates texts and proof reads and edits posts and communications in both languages.

Finance Team
Treasurer (Board)
Responsible for the financial matters: accounting, invoices, reimbursements, plans and supervises the budget, makes and presents financial statements in annual and weekly meetings. Knowledge about Finnish law and Finnish language skills are a big plus.
Partnership Coordinator (Board*)
Seeks partners and sponsors for events and collaborations. Prepares sponsorship packages and meets with external businesses and organizations. Strong English skills are necessary, Finnish language is also preferred here but not required.
Finance Coordinator
Assists the treasurer with general accounting, and budget and cost planning as well as helps with sales, merchandise, and sponsorships as well.

Event and Trips Team
Event Manager (Board)
Plans and organizes the event calendar, coordinates Event and Trips team alongside Trip Coordinator, is hands on for events and trip planning. Ensures quality of events and keeps events within budget. In charge of sitsit planning. Liaison with contracted venues.
Trip Manager (Board)
Liaison with TimeTravels who is a third party company providing some of the trips. Relay communications and sales information from TimeTravels. Coordinates Event and Trips team alongside Event Coordinator, is hands on for events and trip planning. Ensures trips are on budget and planned well in advance. In charge of sitsit planning.
Event Planners
Each planner organizes and manages at least 2 events per month. Is involved in start to finish planning including locations, timing, tickets, coordination with social and inclusion team, and more. Most team members will have multiple roles in events, trips, sports, or more. You will be allowed to planner all sorts of events with the team.
Trip Planners
Plans and manages at least 1 trip per month. Is involved in start to finish planning including locations, timing, tickets, overnight stays, travel, coordination with social and inclusion team, and more. Most team members will have multiple roles in events, trips, sports, or more. You will be allowed to planner all sorts of events with the team.
Sports Planners
Plans and manages at least 2 sports events per month. Liaison with Unisport. Is involved in start to finish planning including locations, timing, tickets, coordination with social and inclusion team, and more. Most team members will have multiple roles in events, trips, sports, or more. You will be allowed to planner all sorts of events with the team.
Sitsit and Party Planners
Plans and manages at least 1 party event per month. In charge of internal partners in University and inter-university partners with other student organizations. Is involved in start to finish planning including locations, timing, tickets, coordination with social and inclusion team, and more. Most team members will have multiple roles in events, trips, sports, or more. You will be allowed to planner all sorts of events with the team.

Safety and Social Inclusion Coordinator (*)
Advocates for safety and inclusion in all events and activities. Liaison with other ESN Social Inclusion Coordinators. Creates goals for safety and inclusion of all realms and aims to integrate University of Helsinki, ESN, and team values into all internal and external actions.
Social Causes Planner (*)
Advocates and incorporates social causes and positive impact goals in all events. Plans at least one specific social cause event per month. Works with inclusion and events team to integrate events.
Sustainability Coordinator (*)
Advocates for sustainable goals and options for any decisions made by the team. Generates ideas and partners in the communicate related to sustainability goals. Works with inclusion team to help with other inclusion goals as well.
(*) This is a new team! There are some general guidelines and basic goals that you will discuss with the president and board. But the position will involve a lot of pioneering in establishing policies and goals for current and future generations at ESN Uni Helsinki.
