Volunteers, Local Buddies, and Team Members from ANY university of applied sciences or university in Helsinki are welcome to apply!
Chairs board meetings and directs all teams, involved with all aspects of the team and coordinates with long term partners such as the University of Helsinki and HYY. Administrates digital services for the team. Represents the team in external matters.
Liaison with ESN Finland and ESN International and relays communications and ESN-network related information. Helps and supports the President and their tasks, chairs meetings if the President is absent, makes sure that rules are being followed, makes sure GDPR rules are followed, is responsible for documents and applications, as well as files on the shared drive.
Takes minutes at meetings, coordinates office hours and inventory, responsible for ESNcard and membership management, make sures documents are filed in order and signed properly.
Supports the team’s daily operations by assisting during office hours and ensuring smooth administrative processes. Helps organise and distribute ESN Cards, supplies, and inventory.
Coordinates the team, manages all external and internal communications with administration and team, and is involved in planning and sending out communications, in charge of the monthly emails, and steps in for social media and graphics when needed, helps with replying and escalating incoming messages.
Manages social media channel (Instagram) and is creative and active in creating posts, stories, and campaigns. Is responsive in replying to messages on Instagram and Telegram
Responsible for the financial matters: accounting, invoices, reimbursements, plans and supervises the budget, makes and presents financial statements in annual and weekly meetings. Knowledge about Finnish law and Finnish language skills are a big plus.
Seeks partners and sponsors for events and collaborations. Prepares sponsorship packages and meets with external businesses and organizations. Strong English skills are necessary, Finnish language is also preferred here but not required.
Assists the treasurer with general accounting, and budget and cost planning as well as helps with sales, merchandise, and sponsorships as well.
Plans and organizes the event calendar, coordinates the Event and Trips team alongside Trip Coordinator, is hands on for events and trip planning. Ensures quality of events and keeps events within budget. In charge of sitsit planning. Liaison with contracted venues.
Liaison with TimeTravels, a third-party company that provides some of the trips. Relay communications and sales information from TimeTravels. Coordinates the Event and Trips team alongside the Event Coordinator, and is hands-on for event and trip planning. Ensures trips are on budget and planned well in advance.
Plans and organizes events. They are involved in planning, including locations, timing, tickets, coordination with the social and inclusion team, and more. You will be allowed to plan all sorts of events with the team. At the moment we have two different positions: sports and culture coordinators.
Events Team
Supports the planning and execution of events by assisting with setup, logistics, and on-site coordination. Helps ensure events run smoothly and provides a welcoming experience for participants.
Plans and organizes smaller day trips to nearby destinations, including logistics, schedules, and participant communication. Works closely with the Trip Manager and team to ensure trips are well-organized and on budget.
Trip Team
Assists with the promotion of TimeTravels trips and supports trip operations, including participant coordination and on-the-day assistance. Helping the trip coordinator with organising day trips.
Buddy programme bridges the Finnish-International gap and aims to help students learn about new cultures. Connect international/exchange students with local Finnish students in a buddy system. Manages the entire process and creates buddy-specific events throughout the year. Comes up with programme goals with the team and aims for inter-university collaborations. Liaison with the University of Helsinki's student exchange office. Advocates for safety and inclusion in all events and activities. Liaison with other ESN Social Inclusion Coordinators. Creates goals for safety and inclusion of all realms and aims to integrate the University of Helsinki, ESN, and team values into all internal and external actions.
Plans buddy-specific events through the year. Comes up with programme goals with the team and aims for inter-university collaborations. Works on developing the new buddy programme and responsible for data collection and improvement metrics.
The main goal of this position is to organise socially inclusive events, such as blood donations, charity events, and elderly home visits, and to create informative posts about Finnish culture and society.
Helps organise buddy-specific and inclusive events together with the social inclusion manager and coordinators.
