President (Board)

Chairs board meetings and directs all teams; involved with all aspects of the team and coordinates with long term partners such as the University of Helsinki and HYY. Administrates digital services for the team. Represents the team in external matters.

Vice President (Board)

Liaison with ESN Finland and ESN International and relays communications and ESN-network related information. Helps and supports the President and their tasks, chairs meetings if the President is absent, makes sure that rules are being followed, makes sure GDPR rules are followed, is responsible for documents and applications, as well as files on the shared drive.

Secretary (Board)

Takes minutes at meetings, coordinates office hours and inventory, responsible for ESNcard and membership management, makes sure documents are filed in order and signed properly.

Office Hours Support (Team)

Helps to run office hours with the Vice-President and secretary. Keeps them updated on ESNcards and merchandise stock levels and is a friendly face for our exchange students to chat with.

Communications Manager (Board)

Coordinates the team, manages all external and internal communications with administration and team, and is involved in planning and sending out communications, in charge of the monthly emails, manages social media channels (Instagram, Linkedin and Tiktok), helps with replying and escalating incoming messages. 

Communication Support (Team)

Helps the Communications Manager with social media graphics and content creation, especially on Instagram and Tiktok. Can also help design ESN Uni Helsinki merchandise, including tote bags and patches. Definitely a role for someone with a creative spark!

Treasurer (Board)

Responsible for the financial matters: accounting, invoices, reimbursements, plans and supervises the budget, makes and presents financial statements in annual and weekly meetings. Knowledge about Finnish law and Finnish language skills are a big plus.

Partnership Manager (Board)

Seeks partners and sponsors for events and collaborations. Prepares sponsorship packages and meets with external businesses and organizations. Strong English skills are necessary, Finnish language is also preferred here but not required.

Event Manager (Board)

Plans and organises the event calendar, coordinates the Events team, is hands on for events and trip planning. Ensures quality of events and keeps events within budget. In charge of sitsit planning. Liaison with contracted venues.

Trip Manager (Board)

Liaison with Timetravels, our trips partner. Relay communications and sales information from Timetravels. Plans and organises local trips to other nearby Finnish cities.

Events Support

Helps the Events Manager organise and oversee the events calendar. Also helps with registering events on ESN Activities, Kide app and promoting events in our Telegram channels. Helps newer volunteers plan their first events, and supports the Events Manager when they need extra help.

Local Trips Support

Plans and organises smaller day trips to nearby destinations. Works closely with the Trip Manager to ensure trips are well-organised and fulfilling for students. Also contacts local ESN sections in nearby cities for trip collaborations.

Social Inclusion Manager (Board)

Buddy programme bridges the Finnish-International gap and aims to help students learn about new cultures.                                    
Connects international/exchange students with local Finnish students in a buddy system. Manages the entire process and creates buddy-specific events throughout the year. Comes up with programme goals with the team and aims for inter-university collaborations. Liaison with the University of Helsinki's student exchange office. Advocates for safety and inclusion in all events and activities. Liaison with other ESN Social Inclusion Coordinators. Creates goals for safety and inclusion of all realms and aims to integrate the University of Helsinki, ESN and team values into all internal and external actions. 

Buddy Programme Coordinator

Plans buddy-specific events through the year with the Social Inclusion Manager. Helps to connect exchange students to local buddies during regular events as well.

VOLUNTEERS 

Want to get involved in some events when you can, but don't have enough time to plan full events? You can join ESN Uni Helsinki as an active volunteer! 

Responsibilities:

• Help with at least 1 event and/or parties per month

• Don't have the same managing responsibilities, but want to help at student events

• Share events and communications among friends and groups

Time Commitment:

• 1 event per month - Flexible

Team and Board Responsibilities

• Be enthusiastic about helping international and exchange students in Helsinki have a great and enjoyable time.

• Use your previous international or Finnish experiences to share the culture with incoming students. 

• Be peer representatives in support and help for students

• Be able to work in teams and communicate appropriately in English

• Attend weekly meetings and spend time for your responsibilities

Time Commitment

• Team Positions - Volunteer at 1 event / month + team meetings + planning time ~1-4hrs/month

• Support positions - team meetings + assisting your board member ~1-2 hrs/week

• Board Positions - board meetings + planning and iplementing according to your position ~ 4+ hrs/week
